These vendors build and host the mobile forms that field and frontline staff fill in instead of paper — inspection checklists, delivery dockets, safety audits, service reports, work orders. A customer designs a form once, in a browser or drag-and-drop builder, and it goes out to phones or tablets that workers carry on site. What changes is where the data lives: instead of a clipboard that sits in a van or a drawer until someone types it up, the entry is captured with a photo, signature, timestamp or GPS location attached, and it syncs to a server, a spreadsheet, a CRM or a compliance system as soon as (or before) the person is back in signal range.
The people who go looking for this are usually dealing with a backlog of paper that nobody trusts. Forms come back illegible, incomplete, or days late, so office staff spend hours re-keying them before anyone can act on what's in there. Audits are painful because proving a safety check happened means digging through a filing cabinet or a shared drive of scanned PDFs. Managers have no idea what's happening in the field until end of day, if then, and mistakes — a skipped step, a missing signature — surface only when a customer complains or an inspector asks for evidence. Often there's already a patchwork of PDF forms, email attachments and Excel trackers that has stopped scaling as the team or the number of sites has grown.
Providers differ mainly in how much they optimise for the office-based form-builder versus the field worker's device. Some focus on making forms genuinely reliable offline — capturing everything with no signal and syncing cleanly later, which matters a lot if your sites are warehouses, farms or basements with poor coverage. Others put more effort into the builder itself: conditional logic, calculated fields, and templates for specific industries like inspections or field service, so non-technical staff can build complex forms without a developer. A third differentiator is what happens after submission — how well the data routes into your existing systems (ERP, CRM, BI tools, document storage) rather than sitting in the vendor's own dashboard. Worth comparing directly: offline reliability on your actual devices, how form changes are version-controlled once staff are already using older versions in the field, the strength of native integrations versus reliance on generic APIs or Zapier, and whether pricing per user works out sensibly once you have hundreds of occasional field users rather than a handful of power users.
