These businesses build and sell the software that sits between a company and its clients once a deal is signed — a private, branded portal where clients log in to see project status, upload or download files, approve documents, pay invoices, or message the team working for them. Buying one of these tools means setting up that space once and then routing the day-to-day exchange of files, updates and approvals through it rather than through email threads and shared drive links.

The people looking for this are usually dealing with the mess that comes from running client work over email and generic file-sharing tools. Contracts get buried in inboxes, clients chase staff for status updates because they have no visibility of their own, sensitive documents (financial records, ID, signed agreements) get sent as unencrypted attachments, and account managers spend real time each week just answering "where are we on this" or resending a file someone already sent. As the client list grows, this becomes unmanageable and starts to look unprofessional next to competitors who offer clients a proper log-in.

The products in this space split roughly into two approaches. Some are narrow and sharp: built mainly for collecting documents, signatures or information from clients quickly and securely, with reminders and audit trails, and not much else. Others are full client hubs — white-labelled, integrated with your CRM, project management and billing systems, supporting messaging, shared dashboards and knowledge bases, effectively becoming the client-facing layer of your whole operation. A few are built for specific trades, particularly accounting and professional services, with workflows already shaped for those clients.

When comparing them, look at how deeply they integrate with the tools you already run projects and invoicing through, since a portal that duplicates data entry gets abandoned fast. Check whether branding and white-labelling go as far as your own domain and login screen, or just a logo in the corner. Pricing models vary between per-user and per-client seats, which matters a great deal once you have hundreds of clients rather than a handful. And weigh security and compliance certifications carefully if you're handling financial or personal data, since that's often the real reason this purchase gets made in the first place.
