Businesses in this category are hired to move data from one system to another without losing it, breaking it, or locking anyone out along the way. In practice that means extracting mailboxes from an old Exchange server and loading them into Office 365, converting PST or OST files into a format a new mail system can read, pulling file shares and permissions out of on-premise storage and into SharePoint or another cloud platform, or reconstructing a corrupted mail store so its contents are usable again. When the work is done, users log into a new system and find their mail, files, folder structure and permissions intact, and the old platform can be switched off.
People end up looking for this when a migration has become unavoidable rather than optional: a vendor is retiring an old email platform, a company is being acquired and two Exchange environments need merging, an IT lead has inherited years of PST files scattered across laptops with no central backup, or a SharePoint environment has grown so disorganised that nobody trusts it anymore. Sometimes the trigger is a failure rather than a plan — a mailbox is corrupted, a legal hold requires recovering deleted items, or a forensic investigation needs an intact chain of custody from an old data source. In all these cases, doing it by hand, mailbox by mailbox, isn't realistic once you're past a handful of users.
The providers here split roughly into two approaches. One is a downloadable or installed tool you run yourself — useful when the scope is well-defined, like converting a batch of PST files or migrating a known number of mailboxes, and where an internal IT person can do the work with the right software. The other is a managed migration service, where a team plans the cutover, handles exceptions, and takes responsibility for data integrity and downtime. Compare providers on which source and target platforms they actually support (Lotus Notes to Exchange is a different problem to Office 365 tenant-to-tenant), how they preserve metadata and permissions rather than just message content, what verification and rollback options exist if something goes wrong mid-migration, and whether they can handle compliance requirements like legal holds or forensic soundness if that matters to your case. Price scales with data volume and complexity, so get a sense of your actual mailbox count and file volume before comparing quotes.
