Providers in this category get hired to build the systems that capture a document the moment it enters a business — a scanned invoice, a signed contract, an engineering drawing, a patient file — and then index it, store it under the right retention rules, route it to whoever has to approve or act on it, and keep an auditable record of everything that happened to it afterwards. That work covers repository design, records schedules and disposition rules, imaging and OCR for paper backlogs, workflow configuration for approvals and exceptions, and integration with the ERP, CRM, or EHR systems that already hold related data, so staff stop retyping information between systems.

The people who go looking for this usually have documents everywhere except where they should be: contracts in someone's inbox, invoices stuck in an approval chain nobody can see, engineering revisions living on a shared drive with no version control, or a regulator or auditor asking for records the company can't produce quickly. Growth makes it worse — more paper, more formats, more departments each doing their own thing — and the cost shows up as slow accounts payable cycles, duplicate or lost documents, missed retention or compliance deadlines, and staff spending hours searching instead of working.

What you're comparing is less about whether a vendor can "do ECM" and more about which part of that chain they're strongest in and how they've built for your industry. Some are essentially document imaging and DMS specialists who digitise and index paper; others are full platforms with records management, legal hold, and retention scheduling built for regulated industries like life sciences or engineering; others focus almost entirely on workflow and process automation layered on top of content, often specialising in accounts payable or contract routing. A few build for a specific niche — GxP-compliant document control, facilities and asset drawings, secure client document vaults — and are worth considering precisely because they've already solved the edge cases generic platforms haven't.

When you compare providers, look at deployment model (cloud versus on-premise, and how migrations from legacy systems are handled), depth of integration with the systems you already run, compliance certifications relevant to your sector, how workflow and approval routing are actually configured (drag-and-drop versus custom development), and pricing structure — per user, per document volume, or per workflow — since that shapes cost as you scale. Support depth and implementation time also vary a lot between a five-person specialist and a two-hundred-person vendor, and that gap matters more than feature lists once you're mid-rollout.
