These vendors build the systems that store, tag and distribute a company's images, video, design files, templates and brand materials so that anyone who needs the current logo, the approved product shot or the latest campaign video can find it without emailing someone to ask. In practice that means ingesting files from cameras, design tools and agencies, adding metadata and taxonomy so search actually works, tracking versions so nobody edits an outdated file, setting permissions so partners and franchisees only see what they're cleared for, and often publishing a branded portal where external parties can pull approved assets themselves. Some also handle rights and licence expiry, so a stock photo doesn't quietly stay in use after its licence has lapsed.
People end up here because the asset library has become informal and unreliable: files live across shared drives, Dropbox folders, email threads and someone's laptop, three versions of the same logo are circulating, marketing can't find the photography from last year's shoot, and a regional office has published an ad with an old tagline because nobody told them it changed. Creative teams waste time re-briefing work that already exists, brand consistency slips as more people touch fewer controlled files, and legal exposure builds quietly around image rights nobody is tracking. The trigger is usually a rebrand, a new agency relationship, a compliance audit, or simply the pain of a fast-growing marketing team outgrowing a folder structure.
The core job — central storage, tagging, search, permissions — is common to all of them, so the differences show up in emphasis and depth. Some are built around brand portals for external partners and franchisees; others go deeper on rich media, with proxy generation, transcoding and frame-accurate video search built for content-heavy teams. A few are closely tied to product information management, useful if the real problem is packshots and spec sheets tied to SKUs rather than campaign creative, and a handful serve regulated industries with the audit trails and approval workflows that pharma or financial marketing need. Worth comparing directly: how flexible the taxonomy and metadata model is once you have thousands of assets, how well it integrates with the design and CMS tools your team already uses, whether video and large files are handled natively or bolted on, and how rights, usage restrictions and expiry are managed rather than left to a spreadsheet.
