These are the vendors you hire to put a company's documents in one place that everyone with the right permission can reach, on any device, without emailing files back and forth. In practice that means centralised storage with folder and file-level permissions, automatic sync across desktop, mobile and browser, version history so nobody overwrites someone else's work, and shareable links that let clients, contractors or auditors see specific documents without being given a login to your internal systems. Once it's running, a company stops depending on "who has the latest version" emails and starts working from one copy of the truth, with a log of who opened, edited or downloaded what.

People go looking for this when the current setup has quietly stopped working: contracts live on one person's laptop, a client-facing team is sending sensitive files as email attachments, a departing employee still has local copies of things they shouldn't, or an audit turns up no record of who accessed a document last quarter. It also shows up when a company starts working with more outside parties — agencies, franchisees, law firms, offshore teams — and realises it has no safe way to hand them access to just the files they need, for just as long as they need it.

Providers here split roughly into general-purpose sync-and-share tools built for speed and ease of adoption, and heavier document management platforms built around permissions, retention rules and audit trails for regulated work like legal, financial services or healthcare. Some offer private cloud or on-premise deployment for firms with data residency or compliance constraints; others are public-cloud only but cheaper and quicker to roll out. The real differences to compare are how granular the permissioning gets, how well the platform integrates with the office and email tools staff already use, what encryption and certifications they can show an auditor, and how the pricing scales as storage and user counts grow. The trade-off is usually simplicity against control: the tools that are easiest to hand a whole company on day one are rarely the ones that satisfy a compliance officer six months later.
