These vendors build the system a company's recruiters and hiring managers actually work in day to day: posting a role out to job boards, collecting and parsing resumes, moving candidates through defined stages like screen, interview and offer, scheduling interviews, and logging every note and rejection reason against a candidate record. Once it's in place, a hiring manager can see where every open req stands without chasing anyone, a recruiter can search past applicants instead of starting from zero, and the company has a defensible, auditable record of why someone was or wasn't hired.
People start looking for this when hiring has outgrown ad hoc methods. That's usually a shared inbox full of resumes with no way to tell who's already been contacted, a spreadsheet that three people are editing at once and none of them trust, candidates falling through the cracks between interview and offer, hiring managers who won't give feedback because there's nowhere obvious to put it, or a compliance requirement — EEOC reporting, OFCCP audits, GDPR data handling — that a manual process simply can't satisfy. Some are lightweight, self-serve tools aimed at small companies hiring occasionally, with fast setup and simple pipelines. Others are built for high-volume or agency recruiting, with heavier automation, bulk sourcing, and features for staffing firms placing candidates with multiple clients. A separate group leans on AI for resume parsing, candidate matching or sourcing outreach, which matters more if you're drowning in applicant volume than if you're hiring for five specialised roles a year.
When comparing them, look at how well they integrate with the job boards and background-check or assessment tools you already use, how the pricing scales — per job, per user, or per hire — and how much configuration the workflow actually needs versus how much comes pre-built. Also check whether reporting is strong enough for whatever compliance regime applies to you, and whether the candidate-facing side (application forms, communication, career site) matches the experience you want to give applicants, since a clunky ATS front end can cost you candidates before a recruiter ever sees them.
