These vendors build and host the software your team or your customers use to find answers without asking a person. That means an editor for writing and structuring articles, a search layer that actually returns the right result, permissions so the right content reaches the right audience, and analytics showing what people searched for and didn't find. Buying one of these tools means someone is now the owner of that content, and both customers and staff start getting consistent answers instead of whatever's in someone's head or a forgotten Google Doc.
The trigger is usually pain, not ambition. Support tickets keep asking the same questions because the answer exists somewhere but nobody can find it. New hires take months to get productive because onboarding knowledge lives in Slack threads and the heads of two people who might leave. Documentation is split across a wiki, a shared drive, old PDFs and someone's personal notes, and updating it means editing five places at once, so it quietly rots. Customers ask sales and support things a help centre should already answer. None of this shows up as one clean problem — it shows up as slow support, repeated questions, and a nagging sense that the company's knowledge isn't actually captured anywhere reliable.
The products split roughly by who the knowledge is for and how much structure they impose. Some are built for internal teams — engineering runbooks, HR policy, sales playbooks — and focus on fast capture, Slack and Teams integration, and low-friction editing so people actually contribute. Others are built for external-facing help centres and documentation sites, with more emphasis on public search, versioning for different product releases, and branding. A newer group leans hard on AI: surfacing answers inside your existing chat tools, auto-drafting articles from tickets, or summarising long documents on request. Compare them on how good search actually is once you've got a few hundred articles in there, how painful migration and maintenance become at scale, whether non-technical staff can write and organise content without IT, and whether the AI features answer real questions accurately or just sound plausible. Price scales with seats and traffic, so also check what happens to your bill once the whole company, not just a pilot team, is using it.
