These businesses are hired to run the mechanics of workplace training: hosting courses, assigning them to the right people based on role or location, tracking who has started and finished what, and producing the records an auditor or regulator will actually accept. Once one is in place, training stops being a folder of PDFs and a spreadsheet someone updates manually, and becomes something with due dates, reminders, completion certificates, and a report you can pull in minutes rather than reconstruct from email threads.
People go looking for this when training has quietly become a liability rather than a benefit. Compliance deadlines are missed because nobody can say for certain who's done the mandatory course this year. New hires get a wildly inconsistent onboarding depending on which manager they land with. An audit turns up gaps in certification records that should have been renewed months ago. Or the company has grown or spread across sites and the old approach — shared drives, in-person sessions, one enthusiastic trainer with a laptop — simply doesn't reach everyone anymore, especially a distributed or frontline workforce that isn't sat at a desk.
The providers here differ mainly in what they assume you already have and what they build for you. Some are primarily compliance and record-keeping engines, built around audit trails, certification expiry, and proof of completion for regulated industries. Others lean into content: authoring tools for building interactive courses from scratch, or large libraries of off-the-shelf material so you're not creating everything internally. A separate group focuses on how people actually learn day-to-day — mobile-first microlearning, spaced repetition, or peer-created and peer-reviewed content rather than top-down courses.
When comparing them, look at whether authoring is built in or you'll need a separate tool, how well it integrates with your HRIS for automatic enrolment and reporting, whether it handles offline or mobile use for field and shift workers, and how it scales if you need to train external partners or customers, not just employees. Also weigh admin burden against control: some systems are simple to run but rigid, others are flexible but need a dedicated administrator to configure and maintain.
