These providers handle the email your systems send automatically, not the campaigns your marketing team sends deliberately: password resets, order confirmations, shipping updates, invoice PDFs, login alerts, one-time codes. They give you an SMTP relay or an API to plug into your application, then take on the unglamorous infrastructure work of getting that mail delivered — managing sending IP reputation, handling SPF/DKIM/DMARC authentication, retrying soft bounces, and logging every send so you can see what happened to it. Once it's set up, your developers stop worrying about mail servers and your support team stops fielding "I never got my confirmation email" tickets.
People end up here because something triggered-and-important isn't arriving. A password reset lands in spam. An e-commerce order confirmation never shows up and the customer assumes the order failed. A SaaS product sends thousands of notifications a day through a general-purpose mail server or the same account used for marketing newsletters, and now the whole domain's reputation is damaged so nothing gets delivered reliably. Sometimes it's simpler: a team is building a new app, needs email sending from day one, and doesn't want to run their own mail infrastructure or risk their core product's communications on a tool built for bulk promotions.
The core approaches don't differ hugely — SMTP relay or REST API, dashboards showing sends/opens/bounces/complaints, webhooks for event data — but the details matter a lot at scale. Compare providers on actual deliverability track record rather than claims, since inbox placement is the whole point; on whether you get dedicated IPs (better control, more setup) or shared ones (simpler, but you inherit other senders' reputation); on how they price at volume, since costs can scale very differently once you're sending millions a month; on the depth of logs and analytics for debugging a specific missing email; and on integrations with your stack or e-commerce platform, since that determines how much engineering time setup actually costs you. Support responsiveness matters too — when transactional email breaks, it breaks something a customer is actively waiting on.
