These vendors build the systems that capture when people actually work: clocking in via a mobile app, a badge, a biometric scanner, or a kiosk on the shop floor, then turning that raw data into hours, overtime, absence and leave records that feed straight into payroll. Some also handle the adjacent problems that come with tracking time properly, like access control at a site entrance, shift scheduling, or compliance with labour rules on breaks and maximum hours. The usual trigger is that payroll has become a monthly headache: hours are reconstructed from memory, sign-in sheets, or someone's WhatsApp messages, and errors only surface after people have been paid wrong. Growing headcount makes this worse, especially with shift workers, multiple sites, or a mix of hourly and salaried staff. Other companies get pulled in through a compliance angle, needing defensible records for labour audits or overtime disputes, or through security, needing to control and log who can enter a building or restricted area. A common thread is that the business has outgrown manual tracking but doesn't want the overhead of a full HR platform just to solve this one problem.
Approaches split mainly on how time is captured and how deep the system goes beyond that core function. Biometric and facial recognition systems suit factories, warehouses and sites where buddy punching is a real risk; mobile and GPS-based clock-ins suit field teams and remote staff; simple web or kiosk systems suit office-based teams where fraud is less of a concern. Some products are narrowly focused on clocking and reporting, while others bundle in scheduling, leave management, or access control, which matters if you'd rather buy one system than stitch several together. Worth comparing directly: how well it integrates with your existing payroll provider, whether it handles your specific shift patterns and overtime rules out of the box or needs configuration, how it performs across multiple locations or time zones, and what it costs per employee at your actual headcount rather than a starter tier. Support quality and implementation time also vary a lot between a five-person startup selling the product and a larger vendor with dedicated onboarding staff.
