These tools sit between your business and the places customers talk about you in public — Google, Facebook, Yelp, industry-specific review sites, app stores, social media. The core job is threefold: pull every review and mention into one dashboard so nobody's checking ten separate sites, prompt happy customers to leave a review right after a purchase or job (usually by automated text or email, sometimes a QR code at the till), and flag new reviews, especially negative ones, so someone can reply before it sits there unanswered for a month. Many also generate review widgets for your website, benchmark locations against each other if you're a multi-site business, and increasingly draft suggested responses using AI so a manager just has to approve rather than write from scratch.
People start looking for this when reviews have become a liability rather than an asset they're managing on purpose. A one-star review sits unanswered for three weeks because nobody owns the job. A franchise owner has no idea that two of their twelve locations are quietly dragging down the brand's average rating. Sales reps hear "we saw your reviews" as an objection in calls. Front-line staff do good work but nobody ever asks satisfied customers to say so publicly, while the one upset customer always does. For software and app businesses, it's app store ratings tanking downloads. In every case, the reviews exist and are shaping buying decisions whether or not anyone inside the company is looking at them.
The products differ mainly in how they get reviews generated and how they handle scale. Some are built around aggressive request automation — texting every customer straight after a transaction, integrated with your POS or scheduling software so nothing depends on a human remembering. Others focus more on monitoring and response workflow, useful if you already generate reviews fine but can't keep up with replying. Coverage of platforms varies, as does depth for specific verticals — dental, automotive and hospitality often get purpose-built templates and benchmarks. If you run multiple locations, check how the reporting actually rolls up and whether it's built for franchises or bolted on. Worth comparing on: which review sites they actually pull from and post to, whether requests trigger automatically from your existing systems or need manual sending, how good the sentiment analysis is versus just counting stars, and whether pricing is per location, per seat, or per review volume, since that changes fast once you're past a handful of sites.
