These vendors build and run the chat widgets, SMS threads, and messaging-app conversations that sit between a company's marketing and its sales pipeline. In practice that means a script or an AI model that greets a website visitor, asks qualifying questions, books a meeting straight into a rep's calendar, or hands off to a human agent when the conversation gets complicated. Some specialise in outbound-style follow-up over SMS to leads that would otherwise go cold; others focus on WhatsApp or Instagram threads for e-commerce brands, or on embedding a bot in the checkout flow to recover abandoned carts. What changes for the customer is speed and coverage: a question asked at 11pm gets answered, a lead that fills out a form gets contacted in seconds rather than the next business day, and a rep's time gets spent on conversations that are already qualified.

People end up looking for this when their existing lead flow is leaking. Forms get filled in and nobody calls back for hours, so prospects go to a competitor who answered faster. Website traffic is decent but conversion is flat because visitors have questions a static page can't answer and there's no salesperson standing by to answer them. Sales teams complain that half their pipeline is unqualified because nothing screens leads before they land in a CRM. Support teams are drowning in the same handful of questions asked over and over by chat. In each case the underlying issue is the same: there's a gap between someone showing interest and someone from the company actually engaging them, and that gap is costing meetings, sales, or patience.

Providers close that gap in different ways, and the differences matter more than they look on a demo call. Some are essentially rule-based chatbot builders — cheap, fast to set up, fine for FAQ deflection and simple lead capture, but they fall apart the moment a conversation goes off-script. Others run genuine conversational AI or LLM-based agents that can hold a freer-form conversation, qualify against your specific criteria, and route intelligently, at the cost of more setup, more oversight, and a higher price tag. A separate group is built around a single channel — SMS, WhatsApp, or Instagram DMs — and specialise in the compliance, deliverability and messaging-app API quirks that channel demands, rather than trying to do everything.

When comparing them, look at where the conversation actually goes: does it end in a booked meeting on your sales calendar, a ticket in your support queue, or just a transcript someone has to read? Check how the bot handles a question it can't answer — graceful handoff to a human, or a dead end. Weigh setup and maintenance effort against how much control you need over the script versus how much you're willing to trust the AI. And ask directly about integration with your CRM and calendar tools, since a conversational layer that doesn't feed cleanly into what sales already uses just creates another disconnected inbox to check.
