These tools sit on the desk of a sales rep or SDR and manage the mechanics of outbound: building or importing a list of contacts, sequencing emails and calls and LinkedIn touches over days or weeks, tracking who opened what and who replied, and automatically nudging the rep on what to do next. Hire one of these and what changes is the volume of prospecting a single person can sustain — instead of a rep manually copying names into a spreadsheet and writing each email by hand, the sequence runs itself, pauses when someone replies, and logs the activity back into the CRM so nothing gets chased twice or forgotten entirely.
The people who go looking for this are usually running outbound through email inboxes, spreadsheets and personal notes, and it's breaking down. Reps spend more time managing follow-up reminders than talking to prospects. Deliverability is dropping because personal Gmail accounts weren't built to send hundreds of emails a day. Managers have no visibility into who's actually working their pipeline versus who's quietly gone quiet, and every rep is doing outreach a slightly different way, so there's no consistent process to coach or improve. The trigger is often a sales team growing past the size where informal habits hold together, or a push to build a proper outbound motion instead of relying on inbound leads.
Providers differ mainly in what they bolt onto the core sequencing engine. Some are built around data — finding verified emails and phone numbers and firing off outreach at scale, which suits high-volume, lower-touch selling. Others focus on personalisation and multichannel cadence, blending email with LinkedIn and calling to run a slower, more tailored motion for higher-value accounts. Some lean into deliverability and inbox health specifically, which matters once you're sending thousands of emails a month and getting flagged as spam. A few are closer to full engagement platforms with dialers, call recording and coaching layered on top, aimed at larger sales floors rather than a two-person founder-led team.
When comparing them, look past the feature list to how they fit your actual selling motion: whether the sequencing logic supports the channels you actually use, how the data or enrichment holds up in your market and geography, how it integrates with the CRM you already run, and whether the reporting tells a manager anything useful about rep activity versus just logging it. Price scales with contact volume and seats, so the trade-off is usually between a lighter tool that a small team can run without admin overhead, and a heavier platform that needs setup and ongoing management but gives more control at scale.
