These businesses build and sell the tools that event teams use to actually assemble an event, rather than just market it. That covers a specific set of jobs: drawing and approving floor plans and booth layouts, managing speaker and abstract submissions for a conference programme, tracking sponsors and their deliverables, handling exhibitor logistics, and running the registration and attendee side of things. Hire one of these and what changes is that a process currently living in spreadsheets, email threads and PDF floor plans becomes a system other people can see into — a sponsor knows what they've committed to, a speaker knows their submission status, an operations person can move a booth without redrawing the whole diagram by hand.
The person who goes looking for this is usually running an event — often not for the first time — and has hit the point where ad hoc tools stop working. Maybe the venue floor plan is a static image nobody can edit without going back to whoever made it. Maybe sponsorship tracking lives in one person's inbox and falls apart when they're on leave. Maybe the call for speakers generated 300 submissions and there's no way to review, score and notify them without a lot of manual copy-pasting. The common thread is an event that has grown past what informal tools can handle, with a deadline that doesn't move and a team that can't keep chasing status updates by hand.
Providers here split fairly cleanly into narrow, deep tools and broader platforms. Some specialise in one job — floor plan and diagramming software, or speaker and abstract management, or sponsor tracking — and do it with more depth than a generalist event platform would. Others cover several of these functions together, which suits someone running one event end-to-end but wants everything in one login. Worth comparing on: whether the tool is built for a specific event format (trade show exhibitor management looks very different from conference programme management), how it integrates with whatever registration or CRM system you already use, whether floor plans and diagrams need CAD-level precision or just need to be clear enough for exhibitors to book a spot, and how much hands-on support comes with the licence versus a self-serve setup you configure yourself. Company size is a reasonable proxy for this — smaller vendors tend to be more configurable and more involved in onboarding, larger ones more standardised and better suited to running many events at once.
