These are the vendors you hire to put a working app in front of everyone attending an event — a branded schedule, speaker bios, session maps, sponsor listings, push notifications, live polling and Q&A, and often check-in and badge scanning at the door. Once it's live, attendees stop asking staff where the next session is or whether the 2pm slot moved, and organisers gain a channel to push changes instantly instead of reprinting a programme or shouting into a microphone. Many of these tools also carry a networking layer — attendee profiles, meeting requests, matchmaking — so people can find who they came to meet, and an analytics layer that tells organisers and sponsors who actually showed up to what.

The search for one of these usually starts when an event has outgrown a printed agenda or a shared spreadsheet. You've got parallel tracks, last-minute room changes, sponsors asking what visibility they're getting for their fee, and attendees emailing to ask what the WiFi password is. Sometimes it's a hybrid or virtual component that's been bolted on badly, with no single place for remote attendees to follow along. Sometimes it's simply that last year's event ran on paper and photocopied handouts, and this year's budget and headcount can't survive a repeat of the queue at registration or the confusion over session capacity.

Providers here split roughly into two camps: self-serve, templated builders where you upload your agenda and speaker list and have something live within days, and full-service teams who build and manage the app for you, often bundling in badge printing, check-in hardware or on-site support staff. That split matters for cost and control — templated tools are cheaper and faster but limit customisation, while managed builds cost more and take longer but suit large or recurring events with complex sponsor requirements. Beyond that, compare whether the app is native (installed) or web-based (no download, works instantly but with fewer offline features), how deep the networking and matchmaking actually goes versus being a glorified contact list, whether virtual and hybrid streaming is built in or handled by a separate tool, and how much post-event reporting you get for justifying spend to sponsors and stakeholders. Pricing models also vary between per-event licensing and annual platform contracts, which matters a lot if you're running one flagship event a year versus a continuous calendar of them.
