These tools are built around one core asset: a searchable database of journalists, podcasters, bloggers and influencers, plus the workflow to find the right ones, pitch them, and see what happens next. In practice, someone on a comms or PR team searches by beat, outlet or topic, pulls up verified contact details and recent coverage, builds a targeted list, sends a personalised pitch (often from inside the tool), and tracks whether it landed - who covered it, what they said, and where it spread. Several also add CRM-style history, so a contact's past interactions are visible before the next pitch, and a handful apply the same approach to podcast hosts and social influencers rather than traditional press.

People go looking for this when the old approach to finding contacts breaks down: a spreadsheet of media contacts that's gone stale, hours spent guessing email addresses and searching for who actually covers a beat, pitches landing with journalists who left the outlet years ago, and no record of who's already been contacted or how they responded last time. It gets worse as a team grows or the company moves into new markets - a list one person carries in their head doesn't scale, and blasting generic pitches to a wide list starts damaging relationships rather than building coverage.

Providers differ in where they focus. Some compete mainly on the size, accuracy and freshness of their contact database and how well you can filter it by beat, outlet or reach; others focus on outreach workflow - templates, sequencing, open and reply tracking, closer to a sales CRM than a media list; and a smaller set specialise in adjacent formats like podcast booking or influencer discovery that general PR databases cover thinly. Worth comparing: how contacts are verified and kept current (self-reported profiles go stale fast), whether pricing is per seat or by contact volume, how strong the filtering is for your specific niche, and whether you're buying a data source to plug into your own process or a full workflow meant to replace your spreadsheet and inbox.
