These vendors are hired to build the mechanics of getting someone from 'I want to attend' to 'I'm in the room' (or the stream). That means the registration or ticket-buying form itself, the pricing logic behind it (early bird, tiered, group, donation add-ons), payment processing, seat maps for venues that need reserved seating, and the ticket or badge that gets issued afterwards — QR code, barcode, PDF, or a wallet pass. On the day, it also covers check-in: scanning apps, guest lists, capacity counts, and what happens when someone shows up who isn't on the list. Once it's running, an organiser can see in real time how many tickets have sold, who bought them, and where they came from.

People go looking for this when the current setup is a patchwork that's starting to break under real demand: a generic form tool bolted to a separate payment link, ticket sales tracked in a spreadsheet that someone has to reconcile by hand, no easy way to issue refunds or transfer a ticket, and no record of attendees that can feed into email marketing or a CRM afterwards. It also shows up when an event grows past what manual door lists can handle — multiple sessions or tracks, timed entry, a mix of in-person and virtual attendees, or a box office that needs to scan hundreds of people through in a short window without a queue forming.

The main split in how providers solve this is between lightweight, self-service ticketing platforms — quick to set up, priced per ticket sold, aimed at one-off or recurring smaller events — and heavier registration/event management systems built for venues, conference producers or associations, with reserved seating, session booking, badge printing and deeper reporting. Some are built specifically around virtual and hybrid delivery, integrating streaming and attendee access rather than physical entry. When comparing options, look closely at the fee structure (charged to the organiser or passed to the buyer), how much control you get over branding on the checkout page, whether the check-in app works offline at a venue with poor signal, how well it integrates with the CRM or email tool you already use, and whether it can genuinely scale to a large seated venue or is really built for community-sized events wearing a bigger label.
