The work here is running the physical and digital machinery of an event so that a company doesn't have to build it from scratch each time. That means sourcing and contracting venues, managing budgets and vendors, building registration sites and mobile apps, printing and scanning badges, staffing the floor, running AV and production, setting up lead retrieval hardware for exhibitors, and increasingly streaming or hybridising the whole thing for people who aren't in the room. Hire one of these providers and a marketing or sales team stops doing event logistics themselves and starts reviewing plans, approving budgets, and using the data that comes out the other end.

People end up here because an event is coming up that's bigger or more complicated than their internal team can handle alone. A user conference has outgrown what one marketing coordinator can run from a spreadsheet. A trade show is approaching and nobody has a working system for scanning badges or getting leads into the CRM before the follow-up window closes. A previous event had queues at check-in, exhibitors complaining they got no usable contact data, or a sales team that never got the leads at all. Sometimes it's simpler than that: a company needs to run its first hybrid event and has no idea how to handle the virtual audience without it feeling like an afterthought.

Providers split roughly into full-service event agencies who plan and run the whole thing, and specialist vendors who focus on one piece — registration platforms, lead retrieval devices, staffing, or virtual event technology — that plugs into an event someone else is managing. The real differences show up in three places: how much they do themselves versus hand off to sub-contractors, whether their registration and lead data flows straight into your CRM and marketing automation or needs manual export, and how well they've actually run hybrid or virtual events rather than just added a streaming option. Worth comparing on pricing structure too — day rates and management fees versus per-attendee or per-device software costs behave very differently once an event scales from 200 people to 5,000.
