These businesses build and run the software that sits underneath an event from the moment someone registers to the moment they walk out the door, or log off. That covers ticketing and registration forms, payment processing, badge printing and onsite check-in, the mobile app attendees use to build their schedule and message other delegates, the streaming or virtual venue for remote attendees, and the reporting that tells an organiser who actually showed up and what they engaged with. Hire one of these and you stop running an event through a patchwork of spreadsheets, a generic ticketing tool, and an events team's inbox.
People end up here because an event has outgrown the tools being used to run it. A conference that used to fit on a spreadsheet now has thousands of registrants, multiple ticket types, sponsors who need lead capture, and speakers who need session management. Or a company has committed to a hybrid format and discovered that streaming a room to a webinar tool doesn't give remote attendees anything like the same experience. Or marketing and sales are frustrated because nobody can say which leads came from which session, because registration data lives in one system and the CRM in another. The common thread is an event that has become operationally or commercially important enough that manual coordination is now the risk, not the solution.
Providers differ mainly in which end of the event they were built for. Some are strongest on high-volume public ticketing — payment handling, refunds, capacity management, box-office style reporting — and are the natural fit for festivals, public conferences or large trade shows. Others are built for invite-only B2B events, with more emphasis on the attendee app, matchmaking, agenda personalisation and exhibitor lead retrieval, because the buyer's real goal is pipeline, not ticket sales. A separate group has built out virtual and hybrid delivery as a first-class feature rather than an add-on, which matters if remote attendance is a permanent part of your format rather than a one-off.
When comparing them, look at how registration data actually flows into your CRM or marketing automation platform, since a platform that captures rich attendee data but traps it is not much better than a spreadsheet. Check whether onsite hardware — badge printers, scanners, kiosks — is native or bolted on through a partner. Look at pricing: per-attendee fees can get expensive fast at scale, while flat licensing suits organisers running many smaller events. And weigh configurability against ease of use, since the platforms flexible enough for a 10,000-person hybrid conference are rarely the fastest to set up for a 200-person single-day meeting.
