These businesses check whether an email address is real and able to receive mail before you send anything to it. You give them a list — a CSV export from your CRM, a spreadsheet from a trade show, a file pulled from a data provider — or you connect their API to your signup form or outreach tool, and they return each address tagged as deliverable, undeliverable, risky, or unknown, usually with a reason: bad syntax, no mail server, a full inbox, a disposable domain, a catch-all that accepts everything without confirming anyone exists. What changes for the customer is simple: fewer bounces, a cleaner send, and a list they can actually trust before it goes anywhere near a campaign.

People end up here because something has already gone wrong. Bounce rates have crept up on a campaign that used to perform fine. An email service provider has flagged the account, throttled sending, or threatened suspension because too many messages are hitting invalid addresses. A list built up over several years of form fills, conference badge scans, co-registration deals, and old CRM exports has quietly rotted — people change jobs, domains expire, spam traps get seeded into old data. Sales and marketing teams are burning time and ad spend chasing leads that were never real to begin with, and deliverability to genuine prospects is suffering as a side effect of all the dead weight sitting in the same list.

The core method is common across providers — pinging mail servers, checking MX records, testing SMTP responses, spotting disposable and role-based addresses, flagging catch-all domains — but the details of how they do it, and what they charge for it, vary enough to matter. Some are built around bulk batch cleaning of large lists, others prioritise real-time API checks at the point of signup so bad addresses never get in in the first place; many offer both. Pricing usually runs on credits per address checked rather than seats, so cost scales with list size rather than team size, and free trial credits are common enough that you can test accuracy against your own data before committing. Compare providers on how they handle catch-all and role-based addresses (a weak spot for accuracy claims generally), how fast bulk jobs actually run at volume, whether they integrate directly with your CRM or ESP instead of requiring manual exports, and how transparent they are about false positive rates rather than just headline accuracy numbers.
