These are the businesses you hire to take raw, messy information and turn it into data you can actually use. That might mean keying in thousands of invoices or insurance claims, building out a product catalogue field by field, digitising a paper archive, cleaning up a CRM full of duplicate or incomplete records, or doing the web research needed to fill gaps in a spreadsheet before it goes anywhere near your systems. Some go further into data conversion between formats, image tagging for computer vision models, or writing product descriptions alongside the entry work. What changes for the customer is simple: the data goes from scattered, inconsistent, or locked in documents to structured, checked, and ready to load into whatever system depends on it.
People end up looking for this when the volume of manual data work has outgrown what internal staff can absorb without it eating into their actual jobs, or when a one-off project lands that nobody has time for — a new product line needing thousands of SKUs entered before launch, an acquisition bringing over records in the wrong format, or a compliance deadline forcing a paper archive to be digitised. Often there's already pain from doing it in-house: keying errors causing wrong shipments or failed mailings, a backlog that keeps growing, or a database too inconsistent to trust for reporting or marketing.
Providers split roughly into large offshore teams selling capacity and speed at low per-record or per-hour rates, and smaller or vertical specialists who understand the quirks of a particular document type — logistics paperwork, medical forms, e-commerce catalogues — and build quality control around that. A few layer on higher-value work like enrichment, deduplication, or computer-vision-assisted tagging rather than pure keying. When comparing them, look at how they handle sudden volume spikes, what their accuracy process actually is (double-keying, sampling, stated error-rate guarantees), whether output arrives ready to import via API or as files you still have to load yourself, how they handle sensitive or regulated data, and whether pricing is per record, per hour, or a flat retainer. Company size is a rough proxy for trade-offs too: a small team gives closer attention but limited capacity, a large one can absorb almost any volume but with less flexibility per client.
