These firms get hired to do the work that keeps a nonprofit's revenue coming in, but that most nonprofit staff don't have the time, headcount, or specialist experience to do well themselves. That means running a capital campaign from feasibility study through to close, building or rescuing a major gifts program, doing prospect research to find and rate the donors worth cultivating, staffing an interim development director role while a search is underway, or handling the back-office donor database and gift processing work that funds everything else. Some are pure strategy shops that hand over a plan and leave; others embed staff on-site for months or years and run the campaign themselves.

People usually land here because something in the fundraising engine has stalled or never existed in the first place. A capital campaign is being planned and the board wants a feasibility study before committing to a number. A major gifts pipeline exists on paper but nobody is actually moving donors through it. The development director just left, taking institutional knowledge with them, and the CEO doesn't want fundraising to go quiet for six months while a replacement is found. Or the organisation has grown past what a spreadsheet and a part-time bookkeeper can handle, and gift records, acknowledgements, and reporting are falling behind. In each case, the common thread is that fundraising capacity — whether that's expertise, hours in the day, or software fluency — is the constraint on revenue, not the mission or the donor base itself.

The providers here split roughly into three approaches: strategy and campaign consultants who plan and advise, staffing firms who place interim or fractional fundraising talent inside your organisation, and operations/back-office specialists who run the systems — donor databases, gift processing, analytics — that everything else depends on. A few cover more than one of these. When comparing them, look at whether they charge fixed project fees or percentage-of-funds-raised (the latter is controversial in the sector and some funders won't work with it), whether their consultants stay involved through implementation or hand off a plan and disappear, and whether their experience matches your size and cause — a firm built for university capital campaigns in the tens of millions may be the wrong fit for a community nonprofit running its first major gift program. Ask for references from organisations of comparable budget and mission, not just logos.
